6 tips to close WhatsApp chats without the customer coming back tomorrow

Marking a chat “done” because you stopped typing is not the same as the customer being done. Same-day reopens usually mean the middle state was skipped. Here’s how we close cleanly in Wroups.

1. Confirm before you close

Don’t assume silence means success. One line: what you did + what they should see next + “anything else?” Wait for a yes or a new question. Skipping this is the #1 reopen driver.

2. Use a waiting state — not open or closed

If you’re waiting on a bank transfer, a delivery scan, or the customer to try the fix, tag it pending_confirmation (or similar) and set who owns the follow-up. Floating “open” chats clutter the queue; premature “resolved” creates reopens.

3. Set a follow-up time on pending cases

15–30 minutes for urgent checks. Same business day for most ops. If proof doesn’t arrive, the owner gets a nudge — not the whole team guessing. Workflows can fire the reminder (workflows).

4. Close with one scannable summary

Tracking link, refund timeline, appointment time — in one message the customer can scroll back to. Three bubbles of partial info guarantee “wait, what was the link again?” tomorrow.

5. Ask for feedback while the thread is still warm

One simple question after they confirm: “Did that solve it?” — not a long survey. Do it in the same chat while they’re still engaged. Negative answers route to a human, not to silence.

6. Sweep “resolved” chats that reopened

Weekly, count same-day reopens by topic. If refunds or shipping always bounce back, your close script or pending rules need a rewrite — not more agents.
