Tags and segments — organize your audience without another spreadsheet

Tags for day-to-day ops; segments for living lists. When to use each on WhatsApp.

Without structure, the inbox is a river. With tags and segments, it’s a system.

Tags

Quick labels on a contact or conversation: vip, collections, demo_booked, frustrated.

Use them when:

  • The data changes often.
  • The team needs to filter today.
  • You want a workflow or agent to “see” light context.

Segments

Audiences defined by rules (fields, tags, pipeline stage, events). They recalculate — not a dead spreadsheet list.

Use them when:

  • You’re launching a workflow or campaign to a group.
  • You want “customers with no purchase in 90 days” always up to date.
  • You’re combining several conditions (tag + field + pipeline).

Minimum viable recipe

  1. 8–12 tags max at the start (if you have 80, nobody uses them).
  2. 2–3 segments: active VIPs, at risk, new this week.
  3. One workflow per painful segment — not ten.
